Guide · Carrier invoice audit
Six refunds hiding in your carrier invoice right now
Carrier invoices are hundreds of columns wide and arrive weekly, which is exactly why refundable charges survive inside them. Audit firms have built an entire industry on six recurring patterns. Here they are, so you can catch them yourself.
1. Late guaranteed deliveries
The big one. Guaranteed services delivered late are fully refundable, but only within a roughly 15-day claim window. At volume, some are late every week.
2. Duplicate charges
The same tracking number billed twice for the same charge. It happens more than you would expect, and it hides easily in a 200-column export.
3. Phantom labels
Labels you created, were billed for, and never shipped. If nobody requests the void credit, you simply paid for nothing. Cross-reference billed labels against tracking scans to find them.
4. Residential surcharges on commercial addresses
Carriers classify addresses automatically and get it wrong. A suite number, an LLC in the recipient name, an office plaza — if the address is commercial, the residential surcharge is disputable.
5. Saturday delivery fees on weekday deliveries
A Saturday surcharge on a package the tracking shows was delivered Monday is a clean, evidence-backed dispute.
6. Address correction fees
Charged when the carrier "fixes" your address — frequently applied when the original address was deliverable as written. If your order record shows a correct address, dispute the fee.
